Personal Assistants - (3 Vacancies)
Nature and Scope
The successful candidate will report to the Director and will be responsible for office management and administrative duties in the respective directorate.
Key Responsibilities
1. Manage, prioritize, screen and monitor the Director's correspondences, including calls and emails to ensure they are dealt with appropriately.
2. Arrange appointments, receive visitors, answer telephone calls and respond to routine request for information.
3. Collect and researches information on assigned matters and make sure that relevant information is gathered and prepared to brief the manager for meetings, and events.
4. Receive and process information of a confidential nature; ensures such information is maintained in strict confidentiality.
5. Receive, review, and verify documents, records, and forms for accuracy, completeness, and conformance to applicable rules, regulations, policies, and procedures.
6. Maintain office records and reference files on various subjects.
7. Ensure availability of office, stationery/equipment or other materials for office use.
8. Arrange and schedule a variety of meetings; notifying participants, confirming dates and times, reserving meeting sites, and preparing materials needed at the meetings.
9. Assist in organizing conferences, staff get together, staff parties and functions.
10. Make reservations for travel and accommodation for members of staff traveling on official duties.
11. Perform any other related duties as may be assigned from time to time by the Supervisor.
Qualifications, Knowledge and Experience
1. Diploma in Human Resources, Public Administration, Office Administration or Secretarial studies and Office Management from a recognized Institution.
2. Minimum of four (4) years' work experience in a reputable institution in a similar field.
3. Experience of handling multiple tasks in a busy office.
4. Professional courteous and pleasant personality.
5. Highest degree of integrity and well developed interpersonal skills.
6. Must be a team player, self-motivated and able to work under minimum supervision.
7. Proficiency in the use of computer packages such as Microsoft Word, Microsoft Excel, etc.
8. 'Ability to communicate orally and in writing both in Kiswahili and English.
