Project Description:
The Manager, Events will play a key role in advancing FHI 360's visibility and expertise at conferences and event forums. The Manager, Events will work with multiple members of the Corporate Communications team, leading such efforts as:
- Oversight of FHI 360 presence at conferences, conventions, exhibitions, and events where the goal is to promote FHI 360's work in a particular sector or geographic area; oversight includes making recommendations for FHI 360 presence
- Partnership with other FHI 360 departments to support conferences/forums where FHI 360 desires to have a corporate presence
- Strategic planning for conferences and event forums to include theme selection, creative development of promotional materials and booth, messaging, side event format and elements, and materials
- Management of logistics to include booth set-up, signage, audio-visual needs, attendee briefing book development, side event details and promotion, attendee list tracking, progress reports to executive office and other tasks critical to FHI 360's presence
- Collaboration with Special Initiatives team to assess appropriate forums for FHI 360's proprietary Crowd 360 digital program; liaise with conference coordinators to pave the way for Special Initiatives pitch and implementation
- Planning meetings with internal stakeholders who will contribute ideas and provide critical input in the lead-up to high-priority conferences/events
- Pre-event and on-site coordination with conference coordinators, other partners, vendors and FHI 360 staff to maximize FHI 360 presence
- Collaboration with other Corporate Communications team members and FHI 360 staff to promote FHI 360 conference/event presence through various external and internal channels to include media, social media, email campaigns, FHI360.org, Connect, etc.
- Post-event and conference debrief sessions to assess success and discuss areas for improvement
- Assistance and support for FHI 360-hosted events (generally managed by other departments) through strategic counsel or logistical coordination
- Budget development and tracking for all conference and event activities planned and managed by Corporate Communications
- Management of all interns, staff members and vendors involved in conference/event planning
Job Summary / Responsibilities:
• Manages the strategy and planning of meetings and special events for an organization. Coordinates all amenities and accommodations at the event. Monitors and controls event budgets and negotiates all necessary contracts. Leads the successfully designing, organizing and coordinating of events for organization conventions, conferences, exhibitions and corporate meetings. Selects, develops, and evaluates personnel to ensure the efficient operation of the function.
• Consults with management to determine budgetary parameters, themes, agenda, venues, and expectations regarding organizational events, such as meetings, conferences, and conventions.
• Assists in the development of annual budgets with management.
• Manages and collaborates with vendors or functional areas with the marketing, signage, audiovisual equipment, printing, and security/safety arrangements needed for events.
• Arranges transportation and accommodations for participants attending the event.
• Negotiates contracts to limit company liability and performs site inspections as necessary prior to events.
• Develops and manage relationships with venue locations and vendors.
• Oversees the logistical support, services, supplies, lighting, communication, sound systems, parking and every aspect of an event to ensure that the attendees leave with a positive experience.
• Promotes events using various media outlets and communication strategies so attendees are aware of company functions.
• Ensures that no physical details are overlooked and that events are successful and completed within budgetary constraints.
• Reconciles and process all final billing within thirty days of receipt.
• Conducts post meeting and conference report to determine how future events can be improved.

Qualifications:
- Bachelor's degree in Communications or related field
- At least 6 - 7 years of experience in communications, with non-profit/international development experience strongly preferred
- Strong knowledge of concepts, practices, and procedures relative to managing organizational events.
- Strong portfolio of event management, with particular emphasis on maximizing organizational presence in creative ways
- Demonstrated project management and time management skills; adept at multi-tasking and juggling numerous details within short time-frame
- Comfort level liaising with multiple parties to get buy-in on big initiatives, and create unity in goals and objectives
- Experience working with creative staff, including print/web designers, as well as video producers
- Strong problem-solver; ability to navigate various viewpoints to develop consensus
- Comfort in developing and presenting concepts, reports and updates to leadership
- Excellent oral and written communication skills
- Ability to work well with diverse personalities and negotiate solutions
- Solid experience in budget development and tracking a necessity
- At least 3 years of experience managing staff
- Passion for working in mission-oriented environment
