Organizational background
The World Food Programme (WFP) is the world's largest humanitarian agency, fighting hunger worldwide. Its programmes in Rwanda include food assistance for nutrition, livelihoods, relief and emergency school feeding, while also supporting humanitarian air and logistics services, food security coordination and infrastructure rehabilitation projects.
WFP Rwanda Country Office is looking for a qualified candidate to fill the position Logistics Assistant (COMPAS) based in its sub-office in Huye. Qualified women candidates are particularly encouraged to apply.
The incumbent reports to the Head of Sub-office under the functional supervision of the Head of Logistics and will be responsible for the following:
  • Thoroughly check the clarity and accuracy of information to be input into databases in accordance with established procedures prior to data entry.
  • Enter data into COMPAS.
  • Cross check any differences between the data entered into the system against the actual physical documents to maintain WFP standards.
  • Conduct systematic audits of commodity tracking system data to compare records against actual physical stocks on a regular basis.
  • Perform daily reconciliation exercises of all records and transactions performed within the same day and ensure that data validation, integrity and accuracy of data are meticulously maintained.
  • Prepare and check reports and ensure that reports are produced on timely basis.
  • Liaise with WFP staff within the CTS unit, Program section, and Implementing Partners.
  • Maintain proper filing systems and archiving of documents so that they may be retrieved promptly and efficiently when required.
  • Analyze data that is produced from the systems and report any discrepancies or irregularities to immediate supervisor.
  • Ensure that data or reports requested by supervisors are promptly provided and expedited in an efficient manner.
  • Send and receive data transmissions on a regular basis.
  • Share experience gained with the other staff members and strives towards creating good team building and harmonious atmosphere
  • Perform any other duties as requested by immediate Supervisor.
Minimum Qualifications:
Education: 2-year post-secondary school diploma in logistics, purchasing, business administration or related subjects.

Experience
: At least two years of relevant practical working experience including at least one year in the field of transport, administration, accounting, statistics or another related field,

Language:
 Fluency in both oral and written French or English, and a working knowledge of the other.

Knowledge
: Practical knowledge of Microsoft applications.

Desirable knowledge and skills:
Experience working with a UN Agency or NGO. Fluency in Kinyarwanda.
