JOB PURPOSE
An exciting career opportunity has arisen for an Executive Assistant to provide efficient proactive and responsive administration to two Millicom executives. This is a London-based role and fantastic opportunity for someone looking to interface at all levels of management and employees, locally and internationally. The role is both varied and specialised, and will involve the performance of ongoing complex general and day-to-day administrative assignments, which is critical to the success of our business.

Key Responsibilities

CORE RESPONSIBILITIES
• Complex diary management for two executives; organising internal/external meetings and conference calls, booking meeting rooms and organising refreshments as necessary  
• Acting as a point of contact and communication channel for internal and external stakeholders
• Organising regular local travel, extensive international travel and booking accommodation. Preparing itineraries and organising visas as required.
• Screening telephone calls and taking messages as necessary, dealing with enquiries and requests via email or telephone.  
• Management of department travel approvals process and accurate collection/submission of expenses
• Identifying urgent actions that need prioritising and ensuring effective follow up
• Ensuring sensitive company information is dealt with discreetly and kept confidential at all times.
• Dealing with any ad-hoc requests.
Position Requirements

QUALIFICATIONS AND EXPERIENCE
• Relevant qualification
• Experience in a corporate, international environment in a similar role
• Experience of supporting complex teams with multiple stakeholders
• Experience offering executive administrative support and managing complex diaries

• Excellent communication (both written and verbal) and interpersonal skills
• Ability to liaise with people at all levels within a dynamic Company and key external stakeholders
• Ability to take initiatives, prioritise and maintain confidentiality
• Positive, proactive and dynamic attitude, especially when dealing with unusual tasks
• Strong attention to detail with the ability to work in a fast-paced environment, changing priorities and challenging deadlines
• Self-starter with integrity, maturity and the ability to multitask
• Significant experience using Microsoft programmes, especially Outlook, Word, PowerPoint and Excel
• Highly organised and able to adapt to different cultures
• Able to think logically, establish procedure and follow through with a task until completion
• Excellent diary and project management skills
• Able to calmly and efficiently deal with multiple high priority demands from two business leaders
• Comfortable working under pressure, managing time, setting priorities and meeting deadlines
• Solid English language skills.
• Knowledge of French and Spanish considered as an advantage
• Able to take initiative and work independently on projects/tasks
• Able to devise own methods, approach and procedures in fulfilling assignments
