About AWEPA
AWEPA's principle objective is to support and strengthen the effective functioning of parliaments in Africa as well as to keep Africa high on the political agenda in Europe. In Africa, AWEPA works from a development perspective to strengthen the core functions of parliaments: oversight, representation and legislation. It believes that strong parliaments in particular and good governance, transparency and accountability in general, are essential prerequisites for Africa's development and ultimately its stability, peace and prosperity.
In Europe, AWEPA members work to increase the commitment among parliamentarians and other political leaders towards important issues in Africa. AWEPA implements national and regional capacity building programmes for parliaments, their members and staff, by organising trainings, workshops, conferences and exchange visits.

Purpose of the Position
To support the administration and the logistical functions for the AWEPA Brussels office.
Place in the Organisation
The Office Assistant will work under the guidance of the Programme Coordinator for the Belgian programme and reports to the Chief Administrative Officer.
Description of Responsibilities
Secretarial tasks
- First point of reference for telephone and visitors;
- Responsible for general secretarial duties such as registering mail, typing, copying, filing, faxing, keeping up the public calendar and supplying information to third parties;
- Take care of correspondence (writing, postage, courier, distribution, packages);
- Manage (update) internal lists: telephone list, e-mail addresses, contact details, database and several working lists;
- Responsible for the distribution of emails from the general Inbox;
- Facilitate meetings: beverages, documentation, technical assistance and other related tasks;
- Assist with the organisation of meetings, conferences and other AWEPA events;
- Assist with travel management.
Administration
- Manage the bank affairs and the petty cash in the Brussels office;
- Prepare the monthly cash and bankbooks for the Finance Department in Amsterdam.
Facilities
- Purchase and maintenance of all office supplies;
- Contact person for suppliers and facility related matters.
Required knowledge and skills
We are looking for a candidate that is:
- A National of a European Union member State or has a valid work permit for the European Union;
- Working experience in a similar position;
- French native with good command of the English and Dutch language;
- Experienced in using Microsoft office;
- Accurate and punctual, with attention to detail;
- Friendly disposition, team player and service-oriented;
- Able to work independently while showing initiative and sense of responsibility;
- Ability to work under pressure and prioritise effectively;
- Comfortable working in a multi-cultural environment.

A challenging job at a non-governmental organisation operating in an international environment. The employment period will initially be for six months with the intention to offer an extension. The Office Assistant will work on a part-time basis and is based in Brussels. The salary will be set in accordance to relevant experience and background.
