As part of our expansion plan in Tanzania, Mobisol Ltd is looking to fill several positions in its Distribution Department at our new office in Mwanza Region.

 

 

Procurement & Supply Officer(1position)

 

The Procurement and Supply Officer is primarily responsible for the procurement and supply of all equipment requested by the Heads of Department within the respective Zonal Hub.

 

Responsibilities:

 

  • Receive Orders from Heads of Departments for supply needs of their respective departments
  • Process these orders and arrange purchase and delivery of the supply need in time
  • Liaising with local suppliers to ensure efficient and working Local Purchase Agreements (LPAs)
  • Ensure constant availability and safety of all goods frequently used in the day to day business
  • Catalogue purchase needs of the Zonal Hub for reference of future purchases, cost control and procurement forecasting
  • Communicate to Head of Logistics about regular supply of local purchased goods order to increase efficiency of procurement process
  • Communicate to Finance Department about the monthly procurement requirements and provide them with a summary of expenses

Work / information Process

 

The Zonal Distribution Officer directly reports to the Zonal Hub Manager and Head of Zonal Logistics.

 

Reporting:

The Procurement and Supply Officer is responsible for the monthly Procurement and Supply report. The report presents a status update of the monthly activities, including:

  • Summary of all goods ordered and supplied during the month
  • A cost analysis summarizing the specific and overall expenses of all goods
  • An allocation of the costs to the departments requiring the goods
  • A procurement forecast for the following month in order to estimate the required budget
  • An updated list of items required in the Zonal Hub, the preferable supplier and the predicted costs

 

Qualifications and skills required:

 

 
  • Bachelor's degree in Procurement and Logistics Management is preferred;
  • 3+ years of experience
  • Working experiences in retail logistics
  • Highly proficient in Excel and comfortable with quantitative analytics
  • Highly-organized with clear dissemination and collection of information to / from a team
  • Strong sense of urgency and deadline driven
  • Capable of troubleshooting ad-hoc issues independently
  • Dynamic self-starter, high energy and strong initiative
  • Ability to research, reconcile and communicate business data.
  • Effective team membership skills and high level of interpersonal skills
  • Willingness to travel domestically between Zonal Hubs
  • Fluency in English and Kiswahili

 

 

Inventory Officer (1position)

 

The Inventory Officer is primarily responsible for the continuous stock control and inventory management within the Zonal Hub. The Inventory Officer acts as the team leader of the Zonal Logistic Department.

 

Responsibilities:

 

Managerial functions

 

  • Department management

 

Specialized tasks

 

  • Implement and supervise the continuous stock taking procedure at the Zonal Hub
  • Oversee all incoming and outgoing goods at the Zonal Hub and record them to the inventory accordingly
  • Supervise periodic physical stock taking at the Zonal Hub
  • Point out discrepancies between the physical and the continuous stock taking and report them to the Head of Logistics
  • Oversee the stock in all attached Market Hubs of the Zonal Hub in order to consider this stock as part of the extended Zonal Hub inventory
  • Supervise offloading of incoming shipments and ensure accurate documentation of the delivery
  • Prepare the arrangement of the stock ground early enough for new incoming shipments to ensure a smooth offloading process
  • Define a base stock for all items in order to avoid shortages of any kind within the Zonal Hub and the attached Market Hubs.
  • Be single point of contact for the Head of Logistic in reference to actual stock, shortages and other inventory related issues

 

Work / information Process

 

The Inventory Officer directly reports to the Zonal Hub Manager and Head of Logistics.

 

Reporting:

 

The Inventory Officer is responsible for the monthly report of the Zonal Logistic Department. The report presents a status update of the zonal stock, including:

  • Physical Inventory of the Zonal Hub and all attached Market Hubs at the end of the month
  • Summary of unexpected discrepancies between the expected inventory and the physical inventory
  • Summary of stock shortages which might affect the operations
  • Summary of stock movement within the month
  • Market Hub Distribution report
  • Procurement report

 

Authority:

 

The Inventory Officer is the Team Leader of the Zonal Logistic Department and has the authority over the physical stock of a Zonal Hub.

 

Qualifications and skills required:

  • Bachelor degree in Business, Logistics, Supply Chain Management or operations-related field is preferred; Master's degree is a plus
  • 3+ years of experience
  • Working experiences in retail logistics
  • Highly proficient in Excel and comfortable with quantitative analytics
  • Highly-organized with clear dissemination and collection of information to / from a team
  • Strong sense of urgency and deadline driven
  • Capable of troubleshooting ad-hoc issues independently

Zonal Distribution Officer (2positions)

 

The Market Hub Distribution Officer (MHDO) is responsible for the supply of Market Hubs with Mobisol Solar Home Systems (SHS). This involves processing of system orders, preparation of necessary documents, supervising the loading of the truck and coordination of deliveries.

 

Responsibilities:

 

Preparation of Market Hub Deliveries

  • Prepare the weekly distribution plan until the end of the week.
    • Schedule deliveries in consultation with the MH Delivery Officer and the MH Operators
    • Always assure a sufficient stock of all system sizes at each market hub
    • Consider the stock of each Market Hub as well as the stock in the Zonal Hub
    • Combine Market Hub Deliveries in order to reduce financial and timely expenses in relation with Market Hub Distribution
  • Forward the internal system order sheet together with the weekly distribution plan to the Assembling Supervisor.
  • Forward the internal spare part order sheet together with the weekly distribution pan to the Refurbishment Supervisor
  • Prepare the customer envelopes with the customer documents prior to the system delivery

    • Customer Delivery Note
    • User Manual

Supply of Market Hubs

  • Prepare the Market Hub Delivery Note
  • Perform scanning of all goods to be sent to a Market Hub and create the respective transport in the Database
  • Supervise the loading of the truck and provide the Market Hub Delivery Officer with the necessary information regarding the destination of the different goods
  • Oversee the stock in all attached Market Hubs of the Zonal Hub in order to consider this stock as part of the extended Zonal Hub inventory

Receive Market Hub Return Deliveries

  • File the received documents to their respective folders
  • Inform the Inventory Officer about all incoming goods from Market Hub Return Deliveries
  • Forward faulty components to the Refurbishment Supervisor

 

 

Work / information Process

 

The Zonal Distribution Officer directly reports to the Zonal Hub Manager and Head of Logistics.

 

Reporting:

The Market Hub Distribution Officer reports to the Inventory Officer and provides him with the monthly Market Hub Distribution Report:

  • Summary of all Deliveries made within the month
  • Statement about overall costs due to Market Hub Deliveries and covered distances
  • Summary of all problems arising during Market Hub Distribution

 

Authority:

The Market Hub Distribution Officer has the authority over the Market Hub Delivery Officer and all other parties involved during the loading of the delivery at the Zonal Hub.

 

 

Job requirement Qualifications and skills required: 
  • Bachelor's degree in Business, Logistics, Supply Chain Management or operations-related field is preferred; Master's degree is a plus
  • 3+ years of experience
