Duties:
Reporting to the General Secretary, Personal Secretary will be responsible for managing and coordinating front office matters.
• Maintaining office systems, including data management and filing;
• Screening phone calls, enquiries and requests, and handling them when appropriate;
• Meeting and greeting visitors at all levels of seniority;
• Organizing and maintaining diaries and making appointments;
• Dealing with incoming email, faxes and post, often corresponding on behalf of the management;
• Taking dictation and minutes;
• Producing documents, briefing papers, reports and presentations;
• Organising and attending meetings and ensuring the management is well prepared for meetings;
• Liaising with clients, suppliers and other staff.
Key qualifications and experience:
• A minimum of Diploma in Secretarial course from a recognized institution
• Demonstrate capacity in communication and stakeholder's management
• Proficient in computers and Micro office suite
• A minimum of two years relevant working of experience
• Strong English and Kiswahili communication skills (Oral, written and presentational). Knowledge of other International languages shall be an added advantage.
