The Swiss Tropical and Public Health Institute (Swiss TPH) is a world-renowned Institution for teaching, research and services in the field of International Health Development. The Swiss Agency for Development and Cooperation (SDC) is investing in the Health Promotion and System Strengthening Project (HPSS) in the Dodoma region in the United Republic of Tanzania and has mandated the Swiss Centre for International Health (SClH) of Swiss TPH to implement the project. The project's aim is to improve access to and utilization of health resources and services in Dodoma, Morogoro and Shinyanga regionsfor arriving at an effective and well governed health system. To achieve the above aim, the project has four components: health promotion, health financing, pharmaceutical and health product management, and health technology management. The project is expanding its workforces and is announcing the following positions. Qualified candidates are encouraged to apply.


OFFICE ADMINISTRATOR (2 Positions)
Reporting to: Regional Manager
Location: 1 in Morogoro and 1 in Shinyanga
Level of Engagement: Full-time
Duration of engagement August 2015 - July 2019

Aim of the job
Managing books of accounts and physical cash and implementing all financial transactions for the project securely
and within relevant Standard Operating Procedures and regulations

Main Tasks
Maintain books of accounts and ensure proper documentation and authorizations for all financial transactions
Manage bank account cheque books, physical cash and material resources for HPSS project honestly and correctly
Keep cash box securely according to the set rules
Keep all documentation required to validate all financial transactions (cash or other)- receipts and payments, with
proper authorizations securely and in an orderly manner
Make all payments as instructed with proper authorizations and against payee signature, according to relevant SOPs
Collect/receive cash, issue required receipts to payer
Deposit collected cash as required to the Project Bank Account
Collect cash as needed and requested from Bank
Maintain books of accounts, cash book, cash ledger and electronic cash accounts as required and instructed
Submit receipts and payment report with all required documentation to accountant for approval and booking in main accounts
Perform daily cash check and submit cash verification report for approval to accountant
Perform monthly bank reconciliation of project bank accounts and submit for approval to accountant
Verify cash balance and supporting documentation on demand from TL, CFAO, RM, and any other officer given the task of conducting surprise cash checks
Manage day-to-day project activities including staff matters
Monitor use of vehicles and fuel consumptions of the project vehicles in the region
Carry out all administrative tasks of the project taking calls, receiving guests, filing and asset management
Under the support of procurement Officer procure/purchase goods and services for the project

Qualification:
BSc Accounts and Finance/ BA/BSc Accounting
2 to 4 years of experience in the similar position
Ability to handle multiple tasks
Team player
Proven interpersonal skills
Experience working in the multi-culture settings
