Your tasks will include:
managing cargo shipments in line with ICRC and international regulations;
negotiating with shipping companies with regard to rates and deadlines;
helping to develop IT tools and passing on information about how to use them to other staff members;
organizing the shipping of goods in line with our guidelines (supply/invoicing) and cost/effectiveness analysis;
organizing calls for tender for shipping goods;
ordering shipments and following up on shipping by road, rail, sea and air or multimodal shipping;
making sure shipping companies meet our standards;
responding quickly and efficiently to all shipping requests from headquarters and the field;
completing shipping paperwork and keeping files up to date (bills of lading, air waybills, etc.);
working with other team members to keep information on shipping companies up to date;
providing the Purchasing Unit with alternative shipping quotes to compare with the supplier's quote for delivery when the supplier offers delivery of goods;
dealing with paperwork relating to shipping incidents, and submitting reports and claims with all necessary documents to insurance companies;
completing delivery paperwork after carrying out checks (on the basis of documents provided by delegations), and informing staff dealing with donors or the External Resources Division (REX) of losses or damage occurred in transit or at delivery;
taking part in task forces when necessary (in particular in emergencies);
briefing logistics staff members leaving on assignment on shipping rules and procedures; helping to train logistics delegates;
helping to update the Shipping Instructions manual;
taking part in ad hoc assignments in the field to help delegations resolve shipping and insurance issues and make sure shipping procedures are followed.
Profile
Completed, or soon to complete, a master's degree in logistics/freight forwarding, or equivalent.
5 years' experience in logistics/freight forwarding.
Fluent in written and spoken English and French.
Advanced computer skills: MS Office, especially Excel. Experience working with Lotus Notes and J.D. Edwards software desirable.
Able to develop and sustain a network of key contacts.
Previous experience in a similar international environment an asset.
