The EP-SCALE Program Coordinator will work with the PCI EP-SCALE project team to develop, maintain, implement and improve (where necessary) administrative and logistical support systems. The Program Coordinator will report directly to the EP-SCALE Project Director and will provide support to the Director, the Senior Program Manager, the Operations/Finance Manager and the PCI Maternal, Newborn and Child Health Advisor for the successful implementation of the project. S/he will actively support the overall management of the EP-SCALE project including work planning processes, team communications, the development of project reports and materials, knowledge management efforts, and interactions with project partners including USAID, the Global Alliance for Preventing Prematurity and Stillbirths (GAPPS) and the American College of Nurse Midwives (ACNM) and others as necessary. As requested, s/he will help plan events, ensure successful implementation of events and may attend events external to EP-SCALE to provide administrative and logistical support. S/he will support the start up and running of the new EP-SCALE sponsored Global Technical Working Group on Preterm Birth and Low Birth Weight Implementation Challenges and Solutions.
Key Duties and Responsibilities:
Project Coordination
· Provides operational support to PCI EP-SCALE team
· Acts as a hub for EP-SCALE communications both internal to PCI and externally with partners
· Ensures that all information sent to the EP-SCALE project is shared with team members
· Supports team meetings and related communications (preparing agendas, taking minutes of meetings, dissemination of minutes, etc.)
· Organizes and manages relevant electronic and paper files to ensure that team members have access to essential project information
Work plans, Reports and Knowledge Management
· Works with EP-SCALE team to support the development of annual work plans and semi-annual reports
· Works with the EP-SCALE Project Director to develop a schedule of activities and to implement the activities in a timely and professional manner
· Reviews EP-SCALE work plans and reports for consistency and accuracy prior to submission to USAID and/or other partners/audiences
· Works with the team towards the development and dissemination of other project materials such as briefing papers, fact sheets and presentations
· Compiles and summarizes information for the development/revision of technical documents and reports
· Assists with dissemination activities related to increasing PCI's visibility in newborn health
Administrative and Logistical Support
· Participates in and supports team meetings
· Supports event planning and implementation
· Provides administrative and logistical support for team travel
· Supports regular communications with the EP-SCALE team (both internal and external to PCI)
· Supports communications with field offices where relevant and necessary
· Provides logistical and administrative support for the Global Technical Working Group on Preterm Birth and Low Birth Weight Implementation Challenges and Solutions
Operations and Finance
· Works with Operations/Finance Manager to ensure compliance with terms of award and PCI internal policy related to procurement, documentation, etc.
· Collaborates as needed with grant accountant; facilitates timely processing of check and wire requests and project team advances and reimbursements
Position Parameters/Special Responsibilities Required:
· May require overtime during peak periods
· May require local and international travel
· Participation in PCI's innovation efforts which is a responsibility of all staff
Required Qualifications:
· Bachelor's degree or technical training and 3 to 4 years of additional work experience required; Master's degree preferred
· 3-4 years professional experience in international development with at least 2 years in similar position
· Excellent communication/coordination skills
· Excellent organizational skills, detail-oriented, including ability to prioritize and manage multiple tasks
· Strong writing skills
· Ability to take initiative, solve problems, anticipate actions, and to use creative means to complete tasks
· Ability to work as an integral part of a team, taking guidance and input from a variety of staff
· Computer skills including word processing (Microsoft Word), spreadsheets (Excel), presentations (PowerPoint), graphics, Skype and Go-To-Meeting
· Fluency in English and one or more second languages is preferred
