The International Labour Organization (ILO) office in Tanzania seeks to recruit a qualified and experienced individual for the position of Finance and Administrative Assistant for the office. The successful candidate will report directly to the Finance and Administrative Officer and will work under the overall supervision of the Country office Director.
POSITION: Finance and Administrative Assistant (G5)
This is a fulltime position based in Dar es Salaam
SPECIFIC RESPONSIBILITIES
  • Maintain the project Imprest Account by generating payment/receipts vouchers through the related US Dollar and convertible Monthly Imprest Reports
  • Ensure timely replenishment of the office bank accounts in order to have adequate financial resources at all times for implementing the ILO projects in Dar es Salaam
  • Check accuracy and integrity of CTA petty cash Reports for replenishment of the related CTA cash accounts
  • Maintain the petty cash account for the project Imprest account office
  • Prepare bank reconciliation for the US Dollar and convertible Bank Accounts
  • Maintain registers for travels /salary and seminar advances
  • Check seminar financial reports and other financial reports prepared by the ILO projects and ILO constituents to ensure accuracy and integrity of the reports
  • Draft correspondence on financial /accounting matters
  • Provide general briefing/training to project finance personnel on accounting /finance
  • Maintain contacts with officials on local banks to obtain information on changes in procedures and regulations, exchange and interest rates and matters pertaining to maintenance of the project Imprest bank accounts
  • Provide budgetary, administrative and financial support services for the efficient and effective implementation of the Technical cooperation projects in Tanzania
  • Provide advice, guidance and assistance to officials and experts of the TC projects concerning correct interpretation of financial regulations, rules, processes and procedures as applied to particular transactions, assist and guide project management in monitoring project funds as well as in maintaining the internal financial controls of the projects.
  • Monitor the implementation of the budget for the TC projects, recommend and initiate budget revisions and/or rephasals as may be required, coordinate and conduct necessary consultations for enhancing budgetary controls.
  • Maintain inventory of fixed assets of the projects and meet reporting requirements for the same, provide supervision and oversight over fixed assets, stationery, supplies and materials to ensure that these are used for official purposes only, arrange for regular maintenance and servicing of operational fixed assets.
  • Maintain and update data bases for Contracts, Agreements, Seminar/Workshop advances and meet reporting requirements for the same, follow up on implementation of contractual arrangements and/or accountabilities.
  • Organize travel plans and arrangements for missions, including incoming missions, and calculate and settle travel claims for staff of the TC projects provide administrative and logistical support to meetings, seminars and workshops organized by the TC projects
  • Perform other duties as may be assigned by the supervisor
1. Education – First level university degree in finance/administration
2. Experience – At least two years of professional experience in a key finance and administrative position. ILO/UN experience in similar position would be an advantage
Languages – Excellent command of English and a local language is required.
