This position is a logistics support and administrative functions of CGSP.3 at the Bank's Headquarters in Abidjan (ROSA) which are performed effectively and efficiently.

Under the general supervision of the Division Manager and under the specific supervision of the Chief Logistics Officer, the incumbent will:

Manage the process for ordering and/or receiving goods for the Bank's office in Abidjan (ROSA).  Ensure that  goods transferred to ROSA are received on-time and complete the following tasks:
  • Receive and process shipping documents, obtain ail necessary duty-exemption and export certificates and documentation necessary for timely import or export processing;
  • Receive goods into ROSA, carry out qualitative and quantitative checks to ensure conformity with the purchase order, and distribute goods to the user-departments.
Ensure that office supplies are available to ROSA staff as and when required.
  • Provide office supplies to ROSA staff as may be needed on a daily basis.
  • Vigilantly ensure that there is adequate stock of office supplies and place order for replenishments locally or from Tunis whenever stock la depleted.
Ensure that stock records are accurate.
  • Manage the storage locations in ROSA by carrying out statutory inventory counts to ensure accurate stock records, carry out monthly MRP rune in SAP for timely and cost-effective stock replenishment, process requests for supplies (SAP reservations), and ensure delivery within 24 hours.
Supervise the land transport activities in the Bank's office al ROSA in the following areas;
  • Ensure that cars are allocated to staff for official missions in line with laid down procedures;
  • Ensure that accidents are declared without undue delay and that necessary insurance claims are filed;
  • Ensure safe custody of fuel vouchers and ensure that they are used efficiently.
Ensure that all invoices for car services are correct and are processed for payment without undue delay:
  • Supervise the activities of the mail room by ensuring that incoming mails are registered and distributed; outgoing mails expedited; invoices from DHL and postal services are correct, processed for payment without undue delay. Assess the local restaurant marker and the trends in similar environments and draft proposals for the Bank's restaurant facilities usage policy.

Including desirable skills, knowledge and experience
  • At least a Bachelor Degree or its equivalent in Administration, Accounting or any related discipline.
  • At least 4 years of relevant experience;
  • Competence in the use of standard software applications (Word, Excel, Access and PowerPoint);
  • Ability to communicate and write effectively in French and/or English, with good working knowledge of English
  • Excellent Customer service record.
