Purpose of the Position
Assist to maintain AAR Healthcare Quality Assurance standards, policies and procedures in order to ensure meeting both internal and external customer's expectations.
The Successful candidate will be based in Dar e salaam and will be reporting to QUALITY ASSURANCE MANAGER
GENERAL FUNCTIONS I RESPONSIBILITIES OF THE POSITION
Day to day administration duties including changing and configuring management processes on Quality Assurance
Programs to ensure quality, integrity and effectiveness of all quality assurance projects within AAR.
Supporting and promoting quality assurance standards and constantly review the effectiveness of the standards in place.
Maintain records for the efficient operation of AAR Quality
Assurance Management System and provide clerical and administrative support to the members of the Quality Assurance Team.
SPECIFIC DUTIES OF THE POSITION
To provide administrative and clerical support to the members of the Quality Assurance Team:
Preparing reports, minutes, letters, memos as required and coordinating Quality Assurance meetings Dealing with staff inquiries relating to the Team's work and keeping records of complaints forwarded to
Quality Assurance Department . .
Sending and following up of Local Purchase Orders for pharmaceutical, laboratory and medical supplies and receiving and dispatching invoices for medical supplies
Publicize AAR quality assurance policies and procedures and ensure availability of professional guidelines, manuals, journals, and medical charts for all carders.
Assist in developing and maintaining Standard Operating Procedures (SOPs), 'schedule SOP meetings in health centres
Making arrangements and maintaining records of Quality
Assurance Audits, managing and authorizing all changes to the quality assurance programs carried out in all AAR Centres
Assist in audit review for Quality Assurance Programs and operational initiatives to ensure that agreed deliverables are achieved and signed off by HCMs and Head of Units.
Assist in reviewing and following up renewal of Medical Suppliers' contracts.
Maintain register of licensure for clinical staff (Nurses, Doctors, Pharmacists, Laboratory, Paramedics and follow up on regulatory licenses such as OSH and Fire
Prepare Continuous Medical Education (CME) calendar, plan CMEs and keep CME register
Archiving of Quality Assurance Department documents (reports, contracts, manuals, SOPs) and keeping
inventory of all AAR medical equipments.
EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES
RELEVANT TO THE POSITION
Experience performing change management for a Quality
Assurance System specifically in a hospital set up. .
Ability to identify deficiencies on existing quality assurance policies and procedures in order to provide input to process improvement and applying quality assurance principles to a change delivery lifecycle.
Well-developed interpersonal skills on supporting of various branches, sections and maintain awareness of quality assurance processes and managing multiple activities, including timely resolution of quality assurance issues.
Excellent organizational skills and utilization of standard computer software such as Microsoft Word, Excel and Power point are essential.
Demonstrating understanding of trends and developments in quality assurance management processes and willingness to work flexibly to meet the demands of the job.
ACADEMIC QUALIFICATIONS:
Degree or Diploma in Medical Field with an up to date professional license
Degree or Diploma in Business Administration or related field from reputable University is an added advantage.
