Job Description for Assistant Property Reservations Officer
Profile:
We are looking for a professional, dedicated, and organized Property Reservations Assistant officer to assist in managing day-to-day operations. The individual will be responsible in assisting for all aspects of the Central Reservations Department, including reservations performance, assessments, developing reservation agents, maintaining service standards, budgeting, monitoring systems and processes of the call center.
DUTIES:
Ø Assist the Central Reservations Manager in all aspects of maintaining daily reservation operations.
Ø Ensure all bookings made adhere to the Group Central Reservations payment and cancellation policies
Ø Ensure guests have the best possible stay at Zara properties or similar properties, look after all their questions and queries and deal with all issues in a polite, helpful and responsive manner.
Ø Maintain and evaluate statistical information for tracking and decision-making purposes.
Ø Direct reservation amendments, additions and cancellations based on our policy.
Ø Answer and assist all incoming telephone checking for accommodation & Availability.
Ø Make sure staff are fully aware of type of room to prepare any special requests or dietary requirements etc which has been received beforehand.
Ø Alongside the Main Camp Managers, take charge for all actions in Camps / Hotels.
Ø Keep the Day Sheet updated on a daily basis.
Ø Supply complete guest detail to Zara properties or similar properties by e-mail/telephone if guests will visit these properties after departing from HQ or similar departure point.
Ø Familiarize yourself with standards expected from each department, Assist and make sure that the standards are exceeded.
Ø Ensure agents are using proper selling techniques and strategies thus maximizing revenue generation and contribution.
Ø Achieve budgeted targets for the department with emphasis on maintaining previously agreed upon quality and service standards.
Ø Ensure accurate information is provided to all clients with respect to all Group Central Reservations products.
Ø General office duties. Check and answer all direct emails.
Ø Any other reasonable requests as made by a Central Reservations Manager/Other Department.
Job requirements:
1. Bachelor's Degree or Diploma in Tourism, Reservation System or Hotel management.
2. 3-5 years previous management experience in a hotel reservations environment is a must.
3. Must have knowledge of Respad Reservation System.
4. Must have excellent command of the English language and good computer skills. Including Microsoft Office applications (Word, Excel, Outlook, etc.)
5. Must be a well-organized, communicate effectively, and proven decision making abilities.
6. Applicants are required to be flexible with work schedule, including weekends and night schedule as necessary.
7. Must be able to multi-task with exceptional attention to detail.
8. Ability to work well under pressure.
9. Courteous and smart in appearance.
