The International Institute for Democracy and Electoral Assistance — International IDEA is an intergovernmental organization that supports sustainable democracy worldwide. Its objective is to strengthen democratic institutions and processes. International IDEA acts as a catalyst for democracy building by providing knowledge resources, policy proposals and supporting democratic reforms in response to specific national requests. It works together with policy makers, governments, UN organizations and agencies and regional organizations engaged in the field of democracy building.
International IDEA's notable areas of expertise are: electoral processes, political parties, constitution-building processes, democracy and gender and democracy assessments. International IDEA works worldwide. It is based in Stockholm, Sweden, and has offices in Brussels, New York, Latin America, Africa and Asia.
The main functions of the post are:
- To effectively implement the corporate monitoring system;
- To analyze and report on performance of KPI's, goals and objectives;
- To coordinate the Institute's corporate planning initiatives.
Context:
According to International IDEA's Strategy 2012-2017, the Institute will given its strategic direction globally focus on the strategic planning and monitoring of the implementation of the Strategy. And further, maintaining a results-based, effective and efficient management system and organizational structure. In this lieu the position of Corporate Planning Officer is designed to enhance and strengthen the strategic planning and monitoring cycle from a performance and operational point of view, with the goal of promoting collaboration, increased efficiency and effectiveness. The service oriented and client facing nature of the Corporate Planner role incorporates an Institute-wide hands-on coordination role of the corporate workplan on the programme managerial level as well as providing standard and ad hoc analytical reporting suited for the Management Committee level. Results reporting towards internal and external stakeholders through diverse and interactive channels is another key aspect of the role.
Under the immediate supervision of the Head of Strategic Planning & RBM the incumbent performs the following duties:
- Oversees the development and maintenance of the corporate workplan;
- Monitors the operational execution of the corporate workplan;
- Tracks and reviews KPI's, goals and objectives of the corporate workplan;
- Deploys and maintains real time dashboard of Key data on the Institute's intranet;
- Researches, investigates and suggests new system improvements;
- Assists the Head of Strategic Planning & RBM in developing effective procedures and processes;
- Assists the Head of Strategic Planning & RBM in training staff on all RBM system related topics;
- Assists the Head of Strategic Planning & RBM in analysis as it relates to Strategy development, institutional planning, performance management and quality control;
- Actively identifies both internal and external clients to whom services are provided and seeks to understand and address clients' needs with effective and appropriate solutions;
- Actively integrates the inclusion of a gender perspective in all programming activities;
- Performs other duties as determined by the Head of Strategic Planning & RBM.
Basic qualification requirements:
Level and type of formal education:
- University degree in Business Administration or any other relevant discipline.
Professional experience:
- Minimum five (5) years experience as Corporate Planning Officer or similar position in an international organization or international environment.
Functional competencies:
- Initiative, ability to work independently, set priorities and perform under pressure with accuracy and dedication;
- Ability to establish positive working relationships at various levels, internally and externally;
- Excellent analytical, drafting and problem solving skills;
- Experience and ability to coordinate multi dimensional projects;
- Excellent interpersonal skills;
- Strong client orientation and excellent organizational and follow-up skills;
- Excellent communication and presentation skills, both written and spoken.
Work relationships:
- Ability to work both independently and in a team in a highly diverse, multi-cultural environment.
Impact of work:
- The incumbent's work should substantively contribute to improve the management of the projects of the Institute.
Language skills:
- English: Fluent.
- Other: Any other widely spoken language in an International IDEA priority region would also be an asset.
Computer skills:
- MS Office package, Project and Access. Working knowledge of ERP, BI and MI systems.

Terms of Contract:
Nine (9) month Temporary Appointment. Expected Start date 1 August.
Please note as this is a local post, International IDEA will bear no costs relating to relocation of the selected candidate to the duty station. This position is open to those legally authorized to live and work in Sweden.
