Damco Tanzania is recruiting for a receptionist / Administrator, to be based in Dar es Salaam.

A visible role where you will demonstrate administration skills for the country office. You will proactively engage in all Administration areas of the office and support the team in delivering the business objectives. Moreover, you will be a team member and actively promote the company culture and values.

In return, you will gain valuable experience in both Admin and HR functions.

Key Responsibilities 
  • Receiving guest at the reception as per SOP
  • Management of all travel logistics for all visitors to the Tanzania office, ranging from VISA processing, flight bookings, airport transfers, accommodation etc.
  • Management of all meeting facilities in the Dar es Salaam office, and in liaison with the Country Manager, provide support in scheduling of meetings via video as per request.
  • Leave management and accuracy in liaison with Area HR.
  • Staff medical cover management and administration with the providers
  • Recruitment support and staff induction in liaison with Area HR.
  • Staff exit procedures in liaison with Area HR.
  • Preparing and maintaining an updated internal telephone directory
  • Organizing of all official staff functions within Dar es Salaam office.
  • Management of all office projects within the Tanzania office, ranging from refurbishments, general maintenance and other adhoc projects as arise.
  • Management of correspondence to and from the office by thorough reviewing of all incoming memos, letters, faxes, submissions, and reports and managing their distribution in accordance with their relevance and significance.
  • Raising of LPOs for the different purchases approved by authorised Manager.
  • Liaise with other functions to updating and maintaining the information notice boards in the office to ensure that they reflect current information at all times.
  • Ensure correct and accurate billing for services.
  • Ensure adequate supply of groceries and responsible for the monthly replenishment of the same.
  • Ensure adequate supply, monitoring and replenishment of stationery for the Nairobi office.
  • Arranging and training back up staff for the reception.
  • Ensure thorough office cleanliness by directly supervising the cleaning staff.
  • Any other tasks that may be assigned from time to time by your manager

  • Excellent decision making and planning skills.
  • Ability to communicate and has positive attitude.
  • Proactiveness and ability to work with less supervision.
  • Advanced level proficiency in Microsoft Office, Excel, internet and web-based
