Operations Manager




Operations Manager
Combined Jewish Philanthropies (CJP), Boston's Jewish Federation, seeks a talented professional to fill the position of Operations Manager, Planning Department.
The Operations Manager is responsible for leading the Planning Department's financial and administrative processes and systems. Key responsibilities include oversight of the budgeting and allocations process, grant reporting, and responsibility for compliance with CJP's information systems. He/she will have operational responsibility for new program development (Project Green Light), and will work closely with Leadership Board Development on CJP's systems and processes for volunteer engagement as they relate to the Planning Department. This position is a critical cross-functional role that works across the department and across the organization.
ESSENTIAL FUNCTIONS:
  • Partner with the Operations, Planning and Analysis (OP&A) group in the Finance Department to manage, oversee, and communicate clearly the allocations budgeting process
    • Implement systems between the two departments to ensure timeliness and compliance with the process that produces consistent and symmetrical information
    • Lead and support the annual budget management process including preparing the budget, tracking against it and providing quarterly forecast updates
    • Review the weekly designated gift report and compare to budget request
    • Manage the preparation of all budget materials for approval including summary budgets for committee meetings, the budget narrative (Allocations Book), memos to the Board of Directors, etc.
    • Manage yearly grant notification and reporting processes
    • Support organizational compliance needs including contract and payroll management
    • Collaborate on training to support financial processes
  • Serve as the department's point person for the grant management system, GELT
    • Serve as system administrator including create reports and queries as necessary
    • Ensure grant payments are approved
    • Track and analyze grant information
    • Support reporting on the department's work to various constituents including lay volunteers, senior staff, the broader community
  • Manage the ongoing operations of Project Greenlight
    • Proposal review process
    • Lead the portfolio review process
  • Support the creation of materials for the volunteer-led Commission on Strategic Priorities
  • Partner with Leadership Board Development to coordinate committee recruitment and tracking systems
  • Support department orientation for all new staff; Work with Planning managers to ensure all new staff receive the training they need
  • Participate in the Planning Leadership Team (Roundtable), CJP's Leadership Team and CJP's Operations Team
  • Maintain responsibility for the Planning Department's day-to-day operations and administration
  • Other duties as assigned with or without accommodation.
MINIMUM REQUIREMENTS:
Education:
  • BA required
Experience:
  • 5-7 years of experience working and demonstrated success managing administratively complex projects and working with a wide variety of organizational levels and personalities.
  • Experience in a non-profit of multi-stakeholder environment is suggested.
Preferred Skills/Qualifications:
  • Strong Analytical & Financial Skills - ability to implement effective accounting policies and procedures to enhance current internal controls.
  • Results-orientation—proven track record of meeting or exceeding goals and a bottom-line orientation; high level of business acumen and the ability to balance the delivery of programs against the realities of a budget.
  • Strong interpersonal skills – ability to work effectively across all levels of the organization; ability to influence without formal authority.
  • Strategic Vision and Agility—ability to think strategically, anticipate future consequences and trends, and incorporate them into the organizational plan; understand how Planning systems and practices serve the organization's business interests
  • Excellent verbal and written skills
  • Strong understanding of business operations within a nonprofit environment.
  • Advanced skill level with Microsoft Office.

  • Ability to develop and maintain strong working relationships with staff, volunteer leaders, community organization staff.
  • Familiarity with Boston Jewish community is a plus
