The UK Permanent Representation is looking for an Corporate and Staffing Support Officer to provide administrative support to UKREP's Deputy Head of Mission practical support to UK secondees to the EU institutions.
This is an excellent opportunity for a confident and outgoing individual who likes working in a team, and meeting and helping new people. You will enjoy a unique insight into how the Permanent Representation works, from the day to day running to the corporate oversight and decisions of the Ambassador and senior management teams. And you will play a key role in helping civil servants coming from the UK to find their feet in Brussels and settle into their new lives.
The nature of this job means that you will need to work closely with two teams, and develop contacts across the Permanent Representation.

Responsibilities:

The job holder will provide UKREP's Deputy Head of Mission with varied support on corporate issues as business needs require, including:
  • Internal communications: Responsibility for managing UKREP's intranet site, people directory and e-filing systems;
  • Liaising with senior management to ensure robust succession planning of staff and delivery of good quality staff induction procedures;
  • Organisation of UKREP events;
  • Co-ordination of UKREP Learning and Development programme for staff;
  • Other administrative and general support for the rest of the Political and Staffing team as required, including helping to organise visits and to cover for other team members during absences.
The job holder will also support the Corporate Services team as business needs require, including:
  • Responsibility for delivery of practical support to British Seconded National Experts (SNEs) posted to the EU Institutions;
  • Liaison with the various Brussels communes concerning registration of SNEs;
  • Accompanying new arrivals to the commune and assisting them with their registration;
  • Assisting SNEs with their healthcare registration;
  • Advising SNEs on how to approach/where to look for advice on any issues raised;
  • Providing general office and administrative support to the Team which supports UK-based staff, including information management and record keeping.

Essential skills & competences:

Essential on arrival:
  • Excellent organisational skills;
  • Good IT skills;
  • Flexibility and discretion;
  • Fluent command of English and French (both oral and written).

Able to demonstrate abilities in the following key competency areas:

Competence 3: Making Effective Decisions
Competence 4: Delivering a Quality Service

Desirable skills:

  • Excellent/good spoken and written Flemish would be highly desirable;
  • A driving licence would be helpful.
The successful applicant will have the opportunity to attend the full range of UKREP excellence training courses.
This position will be filled on a fixed term contract.
Taxable gross monthly salary: € 2286.10
